How do we process your personal data?
The processing of personal data is governed by the General Data Protection Regulation (the GDPR) and as such Flowers by Clowance seeks to comply with its obligations under the GDPR. It does this by:
- Keeping personal data up to date
- Storing and destroying it securely, both electronic and paper copies
- By not collecting or retaining excessive amounts of data
- By protecting personal data from loss, misuse, unauthorised access and disclosure
- By ensuring that appropriate technical measures are in place to protect personal data
What information do we gather?
When you shop with Flowers By Clowance, there are different ways we gather information about you:
When you register with us, we ask for information such as your name, e-mail address, delivery address, contact details. We keep a record of this information. All this is necessary for us to recognise you as a registered customer and to fulfil the orders you place with us. Storing this information means you do not need to re-enter these details each time you shop. If you place an order, your credit card details are collected and passed securely to one of our payment gateways, Stripe or PayPal, to verify the card and to process the transaction.
We DO NOT retain a record of your credit card details once your order has been processed. We keep a record of your purchases with us, which means we can deal a lot quicker with any problems you may experience with your order. We keep a record of any e-mail correspondence you send us. This helps us keep track of your likes and dislikes and any problems or concerns you’ve had with our products or services. We will use information that you supply on any of our electronic forms only for the purpose stated on the relevant form. We will only ask you for information which is reasonably necessary to process your request.
Cookies
Cookies are small text files that web sites can send to your computer. A cookie can be thought of as an internet user’s identification card, which tells a web site when the user has returned. Cookies are not computer programs, and can’t read other information saved on your hard drive. They cannot be used to disseminate viruses, or get a user’s e-mail address etc. They only contain and transfer to the web site as much information as the users themselves have disclosed to that web site.
Cookies make the interaction between users and web sites faster and easier. Without cookies, it would be very difficult for a web site to allow a visitor to fill up a shopping trolley or to remember the user’s preferences or registration details for a future visit. The Flowers By Clowance website uses cookies to allow customers to move from one part of the web site to another and to add items to the shopping trolley without having to login repeatedly. It also allows us to give you accurate information about your account and order history.
The European union Directive on Privacy and Electronic Communications (the “Directive”), which came into force on 31st July 2002, recognises that cookies are a “legitimate and useful tool” for many activities, including verifying the identity of web site users. The Directive makes it compulsory for web sites to inform users if cookies are being used, and to provide some information on how cookies are used. You can find more information on this subject at www.aboutcookies.org. Lastly, the Directive places an obligation on web sites to make users aware that they can set their computers to reject cookies. You will find the instructions on how to do this at www.aboutcookies.org. However, you should be aware that the Flowers By Clowance website (in common with most other shopping web sites) will not work without cookies.
All the information we collect via our website or through correspondence with you is used to operate and improve the service we offer you. We are committed to using your personal information only for:
- Dealing with orders and accounts for the supply of our goods and services.
- Planning and managing Flowers By Clowance business activities, including analysing customers’ shopping habits and preferences.
- Assessing your request for delivery of goods from us where we may make enquiries about you including searching your records
held by organisations like Experian and Equifax and credit reference agencies. - We may also disclose your address and postcode details to check against fraud prevention schemes.
- At all times where we use or disclose your information it will remain secure.
There is only one circumstance where we may share some of your data with others:
With agents (including credit reference agencies, fraud prevention and detection agencies and debt collection agencies) that we use to process the orders you place with us or who assist us in the service we provide to you. In these instances, we provide them with only the information they need to perform their function.
We will not pass details of your name, postal, e-mail address or other personal details to third parties without your consent. In the event ‘Flowers By Clowance’ is under duty to disclose information to third parties, under the Data Protection Act 1998, these third parties must keep the information secure.
Mailing Lists
Flowers by Clowance use mailing lists to notify customers of new products and features. We run two different mailing lists.
Our first list is used for customers that have opted to receive more information from us about our flowers by post service. We often mail out promotional codes to these customers that can be entered in to our site for money off certain products. Customers aren’t automatically placed on this list but must opt-in on either our home page or one of the checkout pages.
Our second list is for wholesale customers. This is an opt-in only list where we email out latest offers and prices with regards to wholesale flowers.
Customers can easily opt-out of any of these mailing lists to which they may subscribed by sending an email, subject = ‘remove’, to info@flowersbyclowance.co.uk. Alternatively there is a link at the bottom of all newsletter emails sent allowing a customer to unregister from the mailing list.
Comments and Testimonials
When visitors leave comments or testimonials on the site we collect the data shown in the form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment or testimonial, your profile picture is visible to the public in the context of your comment.
Contact Form
Flowers by Clowance provides a contact form as a possible way for customers to send questions and queries they have about the business. We collect the data shown in the form, and also the visitor’s IP address and browser user agent string to help spam detection when the form is submitted. We keep contact form submissions for customer service purposes until the question/query has been resolved. We do not use the information submitted through the contact us form for marketing purposes.
Retaining Your Data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
Contact form entries are kept for up to six months once the query raised has been resolved. Analytics records are kept for up to two years. Customer purchase records are kept for ten years.
Your consent
By disclosing your personal information and using our web site, you consent to collection, storage and processing of your personal information as set out above. If we decide to change our security and privacy policy then we will update this page to reflect any changes in the UK’s Data Protection legislation. Information about the Data Protection Act 1998 is also available on the Data Protection Commissioner’s Web site at www.dataprotection.gov.uk.
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Use of this Web site is subject to our Terms and Conditions.
